Background of the Study
Student clubs and associations are integral to enriching campus life and fostering community engagement within universities. At Federal University, Lokoja, Lokoja LGA, the development of a web‑based student club and association management system is proposed to streamline the organization, communication, and administrative functions of these groups. Traditional management methods, which often rely on manual record‑keeping and face‑to‑face meetings, can be inefficient and hinder effective communication among club members and the administration. The proposed system leverages web technologies to create a centralized digital platform where clubs can manage memberships, plan events, and communicate updates in real time (Chinwe, 2023; Adeyemi, 2024). The system features modules for event scheduling, membership tracking, resource sharing, and financial management, which collectively enhance operational efficiency. By integrating with the university’s existing systems, the platform ensures seamless data flow and consistency across various administrative functions. Moreover, the system offers secure user authentication and role‑based access control to protect sensitive information and ensure that only authorized users can access specific functionalities. Automated notifications and discussion forums further support active engagement and collaboration among students. Despite these benefits, challenges such as ensuring data security, achieving user adoption, and integrating legacy data remain. Pilot implementations in similar institutions have indicated that digital management systems can significantly improve organizational efficiency and member satisfaction. This study aims to evaluate the design, deployment, and performance of the web‑based student club and association management system at Federal University, Lokoja, with the goal of establishing a scalable framework for digital student engagement (Okafor, 2024).
Statement of the Problem
Federal University, Lokoja currently manages student clubs and associations through manual, decentralized methods that are inefficient and prone to errors. This fragmented approach results in difficulties in tracking membership, coordinating events, and managing club resources, which ultimately diminishes the effectiveness of student organizations and reduces overall engagement. Although a web‑based management system promises to centralize these functions and streamline operations, its implementation faces several challenges. Key issues include integrating the new platform with existing university databases, ensuring robust data security, and overcoming resistance from users who are familiar with traditional methods. Additionally, achieving a user‑friendly interface that caters to diverse technological proficiencies among students poses significant challenges. These limitations hinder the university’s ability to leverage student organizations as a means of enhancing campus life and fostering leadership skills. This study seeks to address these challenges by designing and evaluating a digital system for club management. Through comprehensive performance analysis and user feedback, the research will identify technical and operational barriers and propose strategic interventions to improve data integration, security, and overall system usability. The objective is to develop a robust digital framework that supports efficient club management and enhances student participation, thereby contributing to a vibrant campus community (Adeyemi, 2024).
